AI Automation Built Around the Work of Personal Injury Law Firms

DartSol helps personal injury firms cut repetitive administrative work, see where every workflow stands and connect the systems they already use, with attorneys and staff kept in control of every decision that matters.

In short: what is personal injury law firm automation?

It's the use of software integrations, rules and, where appropriate, AI to handle repetitive operational steps in a personal injury practice. That includes routing new inquiries, creating tasks, organizing documents and preparing routine updates. It never replaces attorney judgment. Work that needs a legal decision is always routed to a person.

Common operational bottlenecks in personal injury practices

These are the patterns we look for first. They're administrative, not legal, and they're where automation tends to help most safely.
  • New inquiries arrive by phone, web form, email and chat, then get re-typed into the case management system by hand.
  • Intake details turn out to be missing, such as the incident date, insurance information or a signed authorization, and nobody notices until days later.
  • Follow-ups and internal deadlines live in personal inboxes, sticky notes and spreadsheets instead of one tracked queue.
  • Medical records, bills, police reports and correspondence arrive in different formats and are hard to find again when they're needed.
  • Staff spend hours writing near-identical status updates to clients.
  • Partners can't easily see what's pending, what's overdue or where a matter is stuck.
  • The firm's tools aren't connected, so the same information is maintained in several places.

Legal workflow automation we design and implement

Each workflow is scoped, built and monitored around your firm's existing systems and approval rules. Each card states what the automation does and where its boundary is.
  • Intake workflow automation

Capture inquiries from your existing channels and route them into the systems your firm already approved, so nothing is lost between first contact and case opening.

    • Route incoming inquiries into approved systems
    • Create tasks and notify the responsible staff member
    • Flag missing intake information for follow-up
    • Keep attorney or staff review wherever your firm requires it

Boundary: Automation organizes and routes information. Whether to accept a matter is always a decision for the firm.

  • Case management workflow automation

Connect your case management platform to the other applications your team uses, and turn routine steps into tracked, visible tasks.

    • Connect approved case management tools with other business apps
    • Trigger reminders for important tasks and internal deadlines
    • Track task status and escalate overdue items

Boundary: The system never makes legal judgments or determines legal deadlines on its own. Deadline logic runs only from verified rules your firm supplies, with appropriate human review.

  • Document organization and retrieval

Bring order to the documents a personal injury matter generates, and make them searchable for the people who are allowed to see them.

    • Organize documents and their metadata consistently
    • Search approved documents with permission-aware retrieval
    • Extract selected fields for staff to review
    • Preserve source references and review steps

Boundary: Original records are never silently overwritten. Extracted data is a draft for staff to verify against the source document.

  • Client communication workflows

Reduce the time spent on routine updates while keeping your team in control of what goes out and when.

    • Prepare routine updates for authorized staff to review
    • Trigger reminders and internal notifications
    • Use only approved channels and respect consent rules

Boundary: Sensitive or legally consequential messages are never sent without the approval your firm requires.

  • Lead follow-up and CRM automation

Give every new inquiry a clear owner and a tracked next step, and measure how quickly your team responds.

    • Route new inquiries to the right person
    • Track follow-up tasks and detect missing information
    • Measure response times and pipeline status

Boundary: We measure process metrics such as response time and follow-up completion. We don't promise more signed cases or revenue.

  • Reporting and operations dashboards

See workflow health at a glance: what's pending, what failed and where work is waiting.

    • Show workflow status, pending tasks and processing failures
    • Report operational metrics from authorized data only
    • Apply access controls and keep an audit trail
  • AI knowledge assistants

Help staff find answers in your firm's approved internal documentation, such as procedures, checklists and templates, instead of searching shared drives.

    • Answer from approved internal documentation only
    • Include source references where supported
    • Escalate uncertain answers to a staff member

Boundary: Generated content is never presented as a substitute for attorney judgment.

Illustrative example: an intake workflow

A simplified view of how an automated intake flow can work. All names and details below are fictional. This is a demonstration, not a client case study.

  1. Step 1

    Inquiry received

A web form submission arrives (fictional: “Jordan Lee, rear-end collision, Austin TX”).

  2. Step 2

    Structured & checked

Fields are mapped to your intake template. Missing items are flagged, not guessed.

  3. Step 3

    Routed with a task

A lead record and a follow-up task are created and assigned to the intake coordinator on duty.

  4. Step 4

    Human review

Staff complete the missing details and decide next steps. Every action is logged.

Start with a Personal Injury Law Firm Workflow Audit

A focused first engagement that turns one real workflow into a clear, prioritized plan before you commit to a larger build.

What the audit covers

  • Review one existing administrative workflow, such as intake or records requests
  • Identify manual handoffs, duplicate data entry and integration gaps
  • Map the current workflow and a proposed automated version
  • Identify risks, approval points and relevant security considerations
  • Deliver a prioritized automation roadmap
  • Explain implementation options and an estimated scope

What we need from you

  • One person who owns the workflow and can explain how it really works
  • A walkthrough of the tools involved, using test or demo data only
  • Your firm's rules on approvals, access and data handling
  • Time for one or two working sessions

Pricing

Scope determines the estimate for any implementation work. We confirm the audit's scope and terms with you after a short consultation, before any work begins.

Please don't share sensitive information. Our contact form and booking page are for business inquiries only. Do not submit client names, case details, medical records, legal documents or other confidential information. If an engagement goes ahead, we agree on a secure way to handle any data first.

How implementation works

Four stages, each with a clear output, so your firm can review the work at every step.
  1. 1

    Discover

We map one workflow end to end with the people who run it, and note every handoff, exception and approval.

  2. 2

    Design

We propose the automated workflow, the integrations it needs, where humans review and how failures are handled.

  3. 3

    Build & test

We build in a test environment with fictional data and check edge cases such as missing fields, duplicates and outages.

  4. 4

    Launch & monitor

We roll out in stages, with alerts, logs and a rollback plan, then tune the workflow based on how it performs.

Integrations, security and human oversight

Legal workflows handle confidential information, so security and review are part of the design, not an afterthought.

How we connect your systems

We work with the tools your firm already licenses: case and practice management, document storage, email and calendars, e-signature, phone and intake forms, and CRMs. We use their official APIs and webhooks, or platforms such as n8n, Make and Zapier where they fit. Custom code fills the gaps. If a vendor doesn't offer a safe way to integrate, we'll tell you.

How automations are tested

  • Separate test environments and fictional sample records, never live client data
  • Test cases for missing fields, duplicate inquiries, malformed documents and third-party outages
  • Clear failure alerts so a stalled workflow is noticed, not silently dropped
  • Staged rollout with a documented way to switch the automation off

Security practices we design around

  • Least-privilege access: each integration gets only the permissions it needs
  • Appropriate encryption and secure handling of credentials and API keys
  • Access controls and audit logging for automated actions
  • Data minimization and retention policies agreed with your firm
  • Human approval for sensitive or consequential actions
  • Testing before launch and monitoring after it
  • Security review of vendors and integrations before they are connected
  • Design that accounts for your confidentiality, privacy, professional-responsibility and data-protection obligations

What we don't claim

DartSol does not provide legal advice, and we don't claim that any implementation is automatically compliant with HIPAA, SOC 2, the ABA Model Rules, state bar rules or other frameworks. Compliance depends on the specific system, vendors and policies involved, and your firm and its advisers remain responsible for it. Frequently asked questions

What does personal injury law firm automation include?

It covers the repetitive administrative work around a case: capturing and routing new inquiries, creating and tracking tasks, organizing documents, preparing routine client updates for staff review, and reporting on workflow status. DartSol designs, builds, integrates and monitors these workflows around the tools your firm already uses.

Does the automation give legal advice or make legal decisions?

No. DartSol is a technology company, not a law firm, and the systems we build don't provide legal advice. Decisions such as accepting a matter, legal strategy, deadlines and anything sent to a client in a legal capacity stay with your attorneys and authorized staff.

Can the system calculate statute-of-limitations or court deadlines?

Not on its own. By default, we create reminders from dates your staff enter and confirm. Any automated deadline logic is built only from verified rules your firm provides, is reviewed by an attorney, and is never the only safeguard.

Which case management and practice management tools can you connect?

That depends on what each vendor's API, webhooks and export options allow under your current license. We review this during the workflow audit. Where a tool has no suitable integration, we'll say so and suggest alternatives rather than forcing a fragile workaround.

Will client information be sent to third-party AI providers?

Not without an approved data-processing and privacy design that your firm signs off on. Many useful workflows, like routing, task creation and reminders, need no AI model at all. Where AI is appropriate, we minimize the data involved and use providers and settings your firm has approved.

Are your implementations HIPAA or SOC 2 compliant?

We don't claim certifications or blanket compliance. Compliance depends on the specific implementation, the vendors involved and your firm's own policies. We design around controls such as least-privilege access, encryption, audit logging and data minimization, and we work alongside your compliance and ethics advisers.

How much does it cost and how long does it take?

It depends on the workflow, the number of systems involved and the review steps required, so we don't publish a fixed price. The workflow audit ends with an estimated scope and implementation options, so you can decide with real numbers in front of you.

Will automation replace our intake or case staff?

The aim is to remove repetitive data entry, chasing and copy-pasting so your staff can spend more time on clients and cases. People stay in control of judgment calls, approvals and client relationships.

Do you work with firms anywhere in the United States?

Yes. DartSol LLC is registered in Austin, Texas, and delivers remotely to firms across the United States. Our Austin address is a registered business address, not a walk-in office. We agree working hours, communication channels and access arrangements at the start of every engagement.
